Sound familiar?

01

The spreadsheet is stale by Tuesday

Resourcing lives in a workbook someone updates when they remember. By the exec meeting, it's already wrong.

02

Everything is urgent. Nobody knows who's free.

New funding lands, a new initiative appears, and “who can pick this up?” becomes a round of Teams messages.

03

The tools are built for agencies

Resource software assumes billable hours and big budgets. NFP portfolios run on shared staff, grant cycles and goodwill.

Your portfolio, your people and the trade-offs.

One place to see capacity, catch overload early and test new work before anyone commits to it.

Exec reporting

From roadmap to board pack in one click.

Stop rebuilding the monthly exec deck by hand. Runlist builds the slides and the board paper straight from live data — and shows what's moved since last month.

Portfolio update — exec paper Purpose. To note portfolio status and approve two scheduling decisions. Recommendation. Start the volunteer portal on 8 December to avoid overloading the business analyst.

Decisions, not just status

A “needs exec attention” list puts the calls leadership has to make up front, and a decision log keeps the record.

Data you can stand behind

Data checks catch missing RAGs, go-lives and estimates before the pack goes out — with a chase list of who to follow up.

Your governance, built in

Gate approvals, tiers and priority ranking sit alongside the roadmap, so the pack reflects how your organisation actually decides.

From messy portfolio to a clear answer.

Step 1

Bring your portfolio in

Start from the spreadsheet you already have. Runlist tidies it up and flags the gaps.

Step 2

See capacity at a glance

Who's stretched, who has headroom, and which weeks are about to break — across every project.

Step 3

Decide and report

Test the what-ifs in plain English, then send the exec deck and board paper in one click.

The pilot

A small group of NFP PMOs, shaping Runlist from day one.

Runlist is early. The pilot is a working partnership: you get the tool and a direct line to the person building it; we get honest feedback from teams doing the real work.

What you get

  • Free access for the 3-month pilot
  • Hands-on setup — we load your first portfolio with you
  • A say in what gets built next
  • Founding-member pricing when Runlist launches

What we ask

  • You run or support a portfolio of roughly 10+ projects
  • A 30-minute onboarding call to get set up
  • A 15-minute check-in each fortnight
  • Candid feedback — especially when something doesn't work

Runlist is built by a PMO practitioner with 15+ years in delivery, including in the not-for-profit sector. The capacity question comes up every week, and none of the tools answer it well for teams like ours.

Questions

What does it cost?

Nothing during the pilot. Pilot organisations lock in founding-member pricing when Runlist launches, with NFP rates built in from the start.

Does it replace our project tool?

No. Keep running delivery in whatever you use today. Runlist sits above it and answers the portfolio question: who is working on what, and is there room for more.

Can it produce our board and exec reporting?

Yes. Runlist builds an editable PowerPoint deck and a Word board paper from your live portfolio, in your template. Every chart is native PowerPoint shapes, so you can tweak anything before it goes out.

What does “ask it questions” actually mean?

Instead of building a what-if scenario by hand, you type the question — a new project, a later start date, someone going on leave — and Runlist shows the impact and the options. You stay in control of every change.

Where is our data stored?

During the pilot, your data is stored securely with a reputable cloud provider and encrypted in transit and at rest. We'll confirm exactly where it's hosted before you load anything, and Australian data residency is on the roadmap. You can also start with roles instead of names, or with sample data, and add detail only when you're comfortable. Pilot data is never shared with other organisations, and you can ask for it to be deleted at any time.

We're a small team. Is it worth it?

If your people are shared across several projects, yes — that's exactly where capacity gets lost. If you run fewer than 10 projects, apply anyway and tell us about your setup.
